Application and Layout Problems

Sometimes the printer is fine and the problem lives in the application or the document. Printing that works in one program but not another, PDFs with missing fonts, wrong scaling, and half-printed pages usually come from how the app prepares the job. This guide helps you separate application issues from printer issues.

Safe first checks

  1. 1Read and note the exact message on the printer display or in the print queue.
  2. 2Print the printer's own test or configuration page to help distinguish a device problem from a computer problem.
  3. 3Record custom settings before removing a printer or reinstalling a driver; ask IT first on managed work devices.
  4. 4Stop using the printer if there is excessive heat, smoke, a burning smell, sparks, or leaks. Disconnect power only if safe; never touch wet or damaged electrical parts.

Printing works in one application but not another

One program prints fine while another fails or errors. The problem is specific to how that application sends print jobs, not the printer itself.

Possible causes

  • •An application-specific print setting or bug
  • •A corrupted document in that app
  • •An add-in or extension interfering
  • •An app using its own print engine

What to check

  1. 1.Confirm other apps print, which points to the one app as the cause.
  2. 2.Restart the problem application and try a simple new document.
  3. 3.Check that app's print settings and selected printer.
  4. 4.Update or restart the app, and disable suspect add-ins.

When to stop: if only one application misbehaves, the fix lives in that app's settings or support resources, not the printer. Avoid reinstalling drivers for an app-specific issue.

PDFs with missing fonts, images, or garbled output

A PDF prints with missing fonts, dropped images, or garbled text, even though it looks fine on screen. The PDF's fonts or data are not translating to the printer cleanly.

Possible causes

  • •Fonts not embedded in the PDF
  • •A complex or damaged PDF
  • •A printer language mismatch for complex graphics
  • •A viewer sending data the printer mishandles

What to check

  1. 1.Try the “Print as image” option in your PDF viewer for a reliable, if slower, result.
  2. 2.Open the PDF in a different viewer and print from there.
  3. 3.If both PCL and PostScript drivers exist, try the other for complex PDFs.
  4. 4.Re-save or re-export the PDF with fonts embedded if you created it.

When to stop: a genuinely corrupted PDF may need to be recreated from the source. If “print as image” works but normal printing fails, that is a font/graphics translation limit rather than a printer fault.

Incorrect scaling, clipped margins, or off-center content

Content prints too large or small, is cut off at the edges, or sits off-center. Scaling and margin settings do not match the paper.

Possible causes

  • •A scaling option like “Fit” or “Shrink oversized”
  • •A paper-size mismatch between document and tray
  • •Content extending into the unprintable border
  • •Wrong orientation or margins in the document

What to check

  1. 1.Set scaling to 100% or “Actual size” unless you intend to fit.
  2. 2.Match the document's paper size to the loaded paper and the driver setting.
  3. 3.Keep important content inside the printable area (printers have a small unprintable margin).
  4. 4.Confirm orientation (portrait/landscape) matches the layout.

When to stop: every printer has a small unprintable border; content placed to the very edge may clip by design. Adjust the layout rather than expecting true edge-to-edge unless the model supports borderless for that media.

Duplex printing unavailable in certain applications

Two-sided printing is missing or greyed out in some applications even though the printer supports it. The app or driver settings are not exposing duplex.

Possible causes

  • •The duplex option not enabled in driver properties
  • •An application overriding duplex settings
  • •A generic driver lacking the feature
  • •The installed duplex unit not registered

What to check

  1. 1.In the printer's driver properties, confirm the duplex unit is installed/enabled.
  2. 2.Set two-sided printing in the app's print dialog if present.
  3. 3.If the app lacks the option, print, then use manual duplex (reinsert pages).
  4. 4.Use the model-specific driver, which exposes more features than a generic one.

When to stop: some applications simply do not offer duplex; in those, manual two-sided printing is the available path. If the printer has no duplex unit, automatic duplex is not possible.

Unexpected grayscale or color printing

Documents print in grayscale when you wanted color, or in color when you wanted grayscale. A color setting in the app or driver is overriding your intent.

Possible causes

  • •A grayscale/black-only option enabled
  • •An app color setting overriding the driver
  • •A saved default favoring one mode
  • •An economy mode forcing grayscale

What to check

  1. 1.Check the color setting in both the app's print dialog and the driver.
  2. 2.Set color or grayscale explicitly for the job.
  3. 3.Clear any economy or toner-save mode forcing grayscale.
  4. 4.Save the mode you use most as the default.

When to stop: if color is wanted but a color supply is empty, the printer may fall back to grayscale. Address the supply (see the ink-and-toner guide) rather than only changing settings.

Double or overlapping text

Text prints doubled or overlapping, making pages hard to read. The job data is being mishandled, often by a language or driver mismatch.

Possible causes

  • •A printer-language mismatch (PCL/PostScript)
  • •A corrupted print job
  • •A font-handling conflict
  • •A damaged driver

What to check

  1. 1.Clear the queue and reprint a single page.
  2. 2.Try the alternative driver language if both are available.
  3. 3.Re-add the printer with the correct model driver.
  4. 4.Test from another application to see if it is app-specific.

When to stop: if only complex documents double up, it is likely a font/graphics translation issue; simplify the document or use “print as image”. Persistent doubling across everything points to a driver reinstall.

Only half a page printing before the job stops

Pages print partway and then stop, leaving the rest blank. The printer ran out of data, memory, or the connection dropped mid-page.

Possible causes

  • •Insufficient printer memory for a complex page
  • •A dropped connection during transfer
  • •A corrupted or interrupted job
  • •A supply running out mid-page

What to check

  1. 1.Simplify the page or lower the resolution for complex graphics.
  2. 2.Print over a stable connection (try USB to isolate a network drop).
  3. 3.Clear the queue and reprint a single page.
  4. 4.Check that supplies did not run out mid-job.

When to stop: if only large, complex pages cut off, the printer may lack memory for them; that is a capacity limit. Persistent cut-offs on simple pages point to a connection or supply issue instead.

Preventive habits

  • Print at 100% scale unless you deliberately want to fit the page.
  • Embed fonts when creating PDFs you will print elsewhere.
  • Enable the duplex unit in driver properties after setup.
  • Keep document paper size matched to the loaded paper.
  • Use the model-specific driver to expose all features.
