Office printers are workhorses, and they are specified and judged accordingly. A shared machine in a 5–20-person office typically handles 2,000–15,000 pages a month, sits on a wired network, and must tolerate mixed use patterns — invoice runs, contract printing, marketing materials, the occasional scan to email. The hardware has to keep up, but it also has to be quiet, secure, and economical over a multi-year deployment.

The defining decision in this category is almost always inkjet versus laser. Business-class laser is the historical default: fast, robust, cheap per page on plain text, and proven at scale. Business inkjet has narrowed the gap dramatically in the last five years — HP PageWide, Epson WorkForce, and Brother INKvestment machines now compete directly with mid-tier laser on running cost, while using significantly less power and producing less heat. For most offices with typical document workloads, either technology can work; the decision comes down to preferred service relationship, existing fleet management tooling, and whether colour output is genuinely needed day to day.

Monthly duty cycle is the most misunderstood spec in this category. Manufacturers publish two numbers: a recommended monthly volume (what the printer is designed to do indefinitely) and a maximum duty cycle (what it can survive briefly).
